Spotlite Payment Guide: From Quote to Settlement, All Your Questions Answered
1. Quotes and Contracts: Transparent and Simple
Q. I would like to receive a quote.
A. If you need a quote, please clearly state its purpose (e.g., for internal approval, client proposal, etc.) to our Customer Support Team. We will prepare and send you a quote in PDF format according to your request. For official proof of actual expenditure or tax processing, we handle this through tax invoice issuance after the shoot is completed.
Q. How do I create a contract?
A. At Spotlite, once a shoot between a model and a client is confirmed, our Customer Support Team prepares the contract. After sending the draft, we finalize the agreement through an electronic signature system (Modoosign). The contract includes detailed terms such as model fees, shoot schedule, and usage scope, and becomes legally effective upon signature completion. Clients receive a contract confirmation notification via KakaoTalk or email and can review the contract details and proceed with the electronic signature via a link. The entire process is conveniently done online without the need for printing or exchanging physical documents. The signed contract can be saved or printed as a PDF. If conditions change during the contract process, adjustments can be discussed via the in-platform chat function, and upon agreement, our Customer Support Team will revise and send a new contract. All contract flows are monitored by our Customer Support Team, who provide prompt support for any inquiries. If you have any specific requests or company internal policies regarding contracts, please inform us in advance so we can flexibly coordinate.
Q. Can I proceed with a physical contract?
A. Spotlite exclusively processes contracts requiring signatures from both models and clients using an electronic signature method (Modoosign), without time or space constraints. Electronic contracts are legally effective, and after signing, you can save or print them as a PDF. However, if a physical contract is absolutely necessary due to internal regulations, please contact our Customer Support Team separately. We will review the possibility and inform you.
2. Payment: Flexible Procedures and Clear Standards
Q. When and how should I make the payment?
A. The payment of model fees is, in principle, a full cash deposit within 30 days from the shoot date. After the shoot is completed, our Customer Support Team will request the email address for your tax invoice and provide you with a copy of Spotlite's bank account. If you need to adjust the payment date due to schedule or internal circumstances, please inform our Customer Support Team of your desired date in advance. We can revise the payment deadline in the contract accordingly to allow for flexible arrangements. We appreciate your coordination in advance.
Q. My company has a fixed payment date.
A. If your company has a pre-determined payment date due to internal circumstances, Spotlite is as flexible as possible. While the payment is generally due within 30 days from the shoot date, you can adjust the payment date upon request. If you have a set payment date, please inform our Customer Support Team in advance. Based on the information you provide, we will update the payment deadline in the contract and support you in proceeding smoothly according to your internal procedures. However, payment date adjustments may sometimes require consultation with the model, so please inform us in advance if any schedule changes occur.
Q. Can I make an advance payment?
A. While payment is generally due within 30 days from the shoot date, you may proceed with an advance payment (pre-payment) upon request. However, please be aware that additional costs may arise after the shoot due to on-site situations (e.g., additional usage terms, overtime, expanded media usage).
New Payment Process Guide (Additional Fees and Final Quote Confirmation)
Spotlite has improved its system to provide an even more transparent and efficient payment experience.
Additional Fee Confirmation and Request: Once the shoot is completed, the model/agency member first checks for any additional fees (e.g., transportation costs, overtime, additional shooting not agreed upon in advance) and enters these details into the system.
Client Approval: The client member reviews the additional fee request submitted by the model/agency member and proceeds with approval.
Final Quote Confirmation (48-Hour Rule): If the client does not respond to the additional fee request within 48 hours, the final quote will be confirmed as the original amount without additional fees.
Payment Window Generation: Once the final quote is confirmed, a payment window will be generated for the client.
Payment Methods
We offer two main payment methods:
Virtual Account Deposit: If you wish to receive a tax invoice, select the virtual account option for payment. You can enter your business registration number and email for tax invoice issuance during the payment process.
Credit Card Payment: You can conveniently pay by credit card.
3. Changes, Cancellations, and Refund Policy
Q. The contracting company and the payment company are different.
A. If the payment company is different, please provide our Customer Support Team with the following information about the company:
Account holder name
Tax invoice issuance email
Contact number of the company's representative
Expected payment date We will assist you with smooth processing.
Q. I am not satisfied with the model's condition. Is a refund possible?
A. If you meet the model in person for the first time on the day of the shoot without a prior physical meeting, and there are unexpected differences (objectively measurable criteria: e.g., size), you may negotiate with the model regarding compensation and choose not to proceed with the shoot. However, unilateral refund requests or refusal to shoot due to simple dissatisfaction with the 'model's image' after contract signing are not possible. If the shoot proceeds after the in-person check, the full model fee specified in the contract becomes payable regardless of the use of the final output. Therefore, while refunds or payment refusal can be negotiated if the shoot is canceled before it begins, refunds are not possible due to differences in the model's appearance or condition once the shoot has commenced. We recommend thorough communication and model condition checks before the shoot.
Q. I completed the contract signing, but I want to cancel.
A. Once you confirm a model on Spotlite and both client and model complete the electronic signature (Modoosign) contract, the booking is considered confirmed, and cancellation becomes difficult from this point. For detailed information regarding booking cancellations, please refer to Spotlite's Terms of Service, Article 11 (Booking Cancellation of Work Contracts). If you cancel a booking without a valid reason, a cancellation fee may be applied according to certain criteria.
